System Wide Holds - Training Guide

The purpose of this guide is to provide staff a reference resource for processing Requests and Holds on NLPL materials.

Pull List

Instructions to generate a Request Pull List:

1. Open circulation reports by clicking icon on toolbar called Circ Reports or going to the circulation folder and clicking open Circulation Reports. This opens a new window.

2. Click on Requests Menu. ​

3. Open Request Pull List.

4. After data has loaded Sort and Display the list in the order you like (sort by collection and call number)

5. File, Print. ​

6. After the report has been printed, click on Keep List. Answer YES to subsequent question.

7. Go to shelves and retrieve items from list.

8. Note any items not found. You will need to change the item's status to TRACE if the item can't be located after a few days (see Change Item Status to Trace below).

9. Check in items found at Circulation CKI.

Change Item Status to Trace

When you cannot find an item in your library, change the status of the item to Trace:

1. Search for the item and select the correct copy;

2. Press [F10] or click on Send to in the toolbar;

3. Choose Copy/Item List;

4. Click on OK (the List Items window will open);

5. Check that the correct copy (look for your 3-letter library code) is still highlighted;

6. Click on {Edit} (the Item Edit window will open);

7. In the Status box, change 'i' (checked-in) to 'trace' (once you type 'trace', Trace will appear beside the box);

8. Click {Save} and then {Close}.

Another option is to go to Group Editor > Item Group Editor for Staff and change Status to Trace.
